1. Use a single-column layout

Multi-column layouts (sidebar with contact info on the left, main content on the right) are the #1 reason resumes parse badly. ATS reads left-to-right, top-to-bottom, and merges columns in unpredictable ways. Stick to single-column.

2. Use standard section headings

ATS looks for specific words to find each section. Use these exactly:

3. Skip tables, text boxes, and images in the body

Tables often parse as scrambled text. Text boxes get skipped entirely. Images (icons, logos, photos, decorative graphics) contribute nothing to ATS and often confuse it. Your resume should be text on a page.

4. Use common fonts and sizes

Safe fonts: Arial, Calibri, Helvetica, Georgia, Times New Roman, Cambria. Body text 10-12pt. Section headings 12-14pt. Avoid decorative or unusual fonts — some ATS strips unknown fonts and reflows your text.

5. Match the job description's keywords

This is the biggest ranking factor. Read the job posting and note every specific tool, technology, methodology, or skill mentioned. Add the ones that genuinely apply to your experience, using the exact wording. "Cross-functional collaboration" and "worked with different teams" mean the same thing to a human, but ATS treats them as different keywords.

6. Put dates in a consistent format

ATS reads dates to understand your timeline. Use Month Year - Month Year (e.g., Jan 2023 - Present) and be consistent across every role. Don't use just years (2019-2022 leaves gaps ambiguous) or unusual formats (January '23-current).

7. Save as PDF or DOCX

  • PDF: Safe with modern ATS (Workday, Greenhouse, Lever, Ashby). Preserves formatting perfectly.
  • DOCX: Universally accepted. Slightly safer for older or unknown systems.
  • Never use: .pages, .odt, image files, Google Docs share links — these fail or parse badly.
